Administrative Assistant for Teach to Transform

The Administrative Assistant plays a vital behind-the-scenes role in keeping our ministry organized, efficient, and mission-focused. This team member will support operations, communications, and logistics, helping our staff and volunteers stay focused on serving the nations. The ideal candidate is detail-oriented, tech-savvy, a strong communicator, and passionate about supporting global missions.

KEY RESPONSIBILITIES

  • General Administrative Support alongside Executive Administrator
    • Manage calendars, schedule meetings, and coordinate team communications
    • Organize digital files and documents; maintain updated contact lists and mailing lists
    • Handle general inquiries and direct messages to appropriate team members
  • Trip & Event Coordination
    • Assist with travel and training logistics including flight bookings, lodging, and packing lists
    • Help coordinate volunteer communications for mission trips and trainings
    • Maintain training inventory and coordinate supply shipments when needed
  • Donor & Partner Support
    • Assist with donor acknowledgments and updates using CRM software
    • Prepare reports, letters, or presentations as needed for board, donor, or partner communications
    • Search for, write, and retain grants
  • Project Management
    • Help track timelines and deadlines for various ministry projects
    • Provide support in executing special projects such as newsletters, reports, and mailings

QUALIFICATIONS

  • Strong administrative and organizational skills; ability to manage multiple tasks efficiently
  • Excellent communication—written, verbal, and interpersonal
  • Proficient in Microsoft Office Suite, Google Workspace, and/or CRM or donor platforms
  • Self-starter who is flexible, dependable, and able to work remotely with minimal supervision
  • Passion for global missions and the mission of Teach to Transform
  • Willingness to occasionally assist with travel prep or event logistics outside standard hours

PREFERRED ATTRIBUTES

  • Experience working in a nonprofit or missions organization
  • Familiarity with Canva, project management tools, or Mailchimp
  • A heart for service and a team-oriented mindset
